Privacy Policy

Last Updated: October 20, 2025

Look, we get it - nobody actually enjoys reading privacy policies. But we're gonna be straight with you about what info we collect and why we need it.

The Basics

Ravenspire Quest Architecture operates out of Vancouver, BC, and we're committed to protecting your personal information. We're bound by Canadian privacy laws (PIPEDA, for those keeping track), and honestly, we wouldn't have it any other way.

When you reach out to us about a project - whether it's restoring a century-old heritage building or designing something brand new - we need certain details to actually help you. That's what this policy covers.

What We Collect & Why

Contact Information

Your name, email, phone number, property address - the usual stuff. We can't exactly design your Gothic Revival dream home if we don't know where to send the drawings or how to call you when we've got questions about those turret specifications.

Project Details

Whatever you tell us about your project needs. Square footage, style preferences, budget ranges, existing building conditions (especially important for heritage work), sustainability goals. All this helps us figure out if we're the right fit and what your project'll actually need.

Site & Property Info

Photos you send us, site measurements, historical documentation for heritage buildings, survey data - basically anything that helps us understand what we're working with. Can't restore a 1890s facade properly without knowing its history.

Technical Stuff (Website Analytics)

Yeah, we use cookies and analytics tools. They tell us which pages folks actually look at, how long they stick around, whether our portfolio's loading properly. Standard website stuff - helps us keep the site running smoothly and figure out what content's actually useful.

How We Use Your Info

  • Responding to your inquiries (kinda the whole point)
  • Preparing proposals, estimates, and design concepts
  • Managing active projects and keeping you in the loop
  • Sending project updates, construction phase notifications, that sort of thing
  • Maintaining our records for warranty and liability purposes (architecture projects have long tails)
  • Complying with building codes, heritage regulations, and professional requirements
  • Occasionally sending newsletters about our work - but only if you've said that's cool

Who We Share With (Spoiler: Not Many People)

We're pretty protective of your information, but there're some situations where we gotta share:

Project Partners: Engineers, consultants, contractors, heritage specialists - the people who actually help us bring your project to life. They only get what they need to do their part.
Municipal & Regulatory Bodies: Building departments, heritage commissions, planning offices. If you're working on a heritage property or need permits (which is basically everyone), they'll need certain documentation.
Legal Requirements: If we're legally required to disclose something, we will. Court orders, regulatory investigations - that kind of scenario.
Professional Advisors: Our lawyers, accountants, insurance folks - but they're all bound by confidentiality too.

We don't sell your data. Period. Never have, never will. That's not our business model.

Your Rights

Under Canadian privacy law, you've got some solid rights:

  • Access: You can ask to see what info we've got on you
  • Correction: If something's wrong, we'll fix it
  • Deletion: You can ask us to delete your data (with some exceptions for legal/contractual stuff)
  • Withdrawal: Change your mind about marketing emails? No problem
  • Complaint: If you think we've messed up, you can file a complaint with the Privacy Commissioner of Canada

How Long We Keep Stuff

Architecture isn't exactly a quick-turnaround business. Buildings we design today need to stand for decades (hopefully centuries if we're doing our job right). So here's the deal:

Active Projects: We keep everything while we're working together and for at least 10 years after completion. That's partly legal requirement, partly professional standard, and partly because building warranty periods are long.

Inquiries That Don't Go Anywhere: If you reach out but we don't end up working together, we'll typically keep your info for about 2 years. Sometimes projects come back around, and it's helpful to have context.

Heritage Documentation: Historical research and heritage building records might stick around longer - this stuff has archival value beyond just our relationship.

Security Measures

We take reasonable precautions to protect your information. Our systems are password-protected, we use encryption for sensitive data, and we're careful about who has access to what.

That said, let's be real - no system's 100% bulletproof. We do our best, stay up-to-date with security practices, and work with reputable service providers. But if you're emailing us super sensitive stuff, maybe give us a call first to discuss secure transfer options.

Cookies & Website Tech

Our website uses cookies - those little data files that help websites function. Here's what's happening:

Essential Cookies

Keep the site working, remember your preferences during a session. These are necessary.

Analytics Cookies

Help us understand how people use the site. You can opt out through your browser settings.

Most browsers let you control cookies through their settings. Just know that blocking essential cookies might make parts of the site not work properly.

Third-Party Services

We use some external services to keep things running smoothly:

  • Email hosting for communications
  • Cloud storage for project files and documents
  • Website analytics to understand site usage
  • Payment processing for invoicing (they handle the financial stuff securely)

These providers have their own privacy policies, and we choose ones that meet Canadian privacy standards. But when you're on their platforms, their policies apply too.

Portfolio & Project Photos

Here's something specific to what we do: We love showcasing our work. Gothic Revival facades, heritage restorations, sustainable builds - that's our portfolio, and it helps potential clients see what's possible.

Before we use any project photos publicly, we get explicit permission from clients. If you'd rather your project stay private, that's completely fine - just let us know. Some folks love seeing their buildings featured, others prefer discretion. We respect both.

If we've featured your project and you later want it removed, just reach out. We'll take it down, no questions asked.

Changes to This Policy

Privacy laws evolve, our practices might change, technology moves forward. If we make significant changes to this policy, we'll update the date at the top and let active clients know directly.

For minor tweaks or clarifications, we'll just update the policy here. Worth checking back occasionally if you're curious.

Questions? Just Ask.

Look, if any of this is unclear or you've got specific questions about how we handle your information, don't hesitate to reach out. We'd rather have a straightforward conversation than leave you wondering.
